Privacy policy
ParkSpacely ApS (CVR 46405307), Hauser Plads 28, 1. Th., 1127 Kobenhavn K., Denmark (referred to as "ParkSpacely", "we" or "us") respects your privacy and is committed to protecting your personal data. We only collect, use and share information about you as described in this policy and in accordance with the EU's General Data Protection Regulation (GDPR) and Danish data protection legislation. We act as data controller for your information collected via our website and service. This policy explains what data we collect, why we collect it, how we use it and your rights regarding your personal information.
Information we collect
When you use ParkSpacely (for example, register, make a reservation or payment), we collect certain personal data that you provide and technical data from your interaction with our service:
We only collect data necessary to operate ParkSpacely and provide its services. If you choose to provide additional information (for example, a delivery address for receipts or your marketing preferences), we will use that data in accordance with this policy.
- Contact and profile information. We collect data you give us, such as your first and last name, email address, telephone number and postal address. If you connect to a social network (eg "Connect with Facebook"), we receive any profile information you allow (your name and email).
- Account information. When you create an account or log in, we store your username and password (securely hashed), and we may retain a profile picture or other optional profile information if you upload it.
- Parking-space information: address, availability, pricing and photos for hosts.
- Payment data. If you pay for parking through us, we collect the billing information necessary to process the payment. We use a secure third-party payment processor (eg Stripe, PayPal or wire transfer) to handle credit card or bank details. ParkSpacely does not store your full payment card details; we only receive confirmation that the payment has been completed and we may store transaction IDs and your billing address/IBAN as necessary for records.
- Device and usage data. When you visit our website or use our app, we automatically log technical data such as your IP address, browser or device type, pages viewed and how you interact with the site. We use Google Analytics and similar tools to collect this anonymized usage data (including cookies) to help us improve the service and understand website traffic.
- Communication. If you contact us by e-mail or through our help channels, we store the messages for customer support and service improvements.
How we use your information
We use the personal data we collect for the following purposes:
- Service delivery. We use your information to operate ParkSpacely and fulfill your reservations. For example, we use your contact details to send booking confirmations and reminders, and your number plate to register you for parking permits. Processing your reservation and payment is necessary to fulfill our contract with you (GDPR Article 6(1)(b)).
- Account management. Your data allows us to create and maintain your account, handle logins and save your preferences.
- Payments and invoicing. We use your billing and payment information to process payments and issue receipts. We keep payment records in accordance with accounting legislation (in Denmark, payment records are kept for at least five years).
- Communication. We use your email and phone number to send you service-related emails (booking confirmations, service updates, password resets). If you sign up, we may also send occasional newsletters or promotional offers. You can opt out of marketing emails at any time.
- Improving our service. We analyze usage data (from cookies, analytics tools or your interaction with the site) to make ParkSpacely better. For example, we look at how users navigate the site to fix problems and add features. This is done on the basis of our legitimate interest in running an efficient service (GDPR Article 6(1)(f)).
- Legal Compliance and Security. We may use your data to comply with legal obligations (for example, tax reporting or responding to a court order), to prevent fraud or abuse, or to secure our systems. If necessary, we may share information with law enforcement or regulatory authorities.
Cookies and tracking tools
ParkSpacely uses cookies and similar technologies on our website. These include:
You can control cookies through your browser settings (to block or delete cookies) or by adjusting the consent in our cookie banner. Please note that blocking cookies may affect the website's functionality.
- Essential cookies. Necessary for the basic functionality of our site (such as keeping you logged in or remembering an ongoing reservation).
- Analytics cookies. We use Google Analytics or similar services to track how visitors use our site (eg pages visited, time on site). This data is aggregated and anonymous; it helps us improve the user experience. We do not use cookies to track you across unrelated third-party websites.
- Advertising/marketing cookies. If we run targeted campaigns, we may use cookies (or tracking pixels) from advertising partners. These are only used if you give consent (e.g. via a cookie banner).
Data sharing and third parties
We do not sell your personal data to advertisers or other third parties. We only share your information in the following cases:
We make sure to only share data that is necessary. For example, to process a credit card payment, we share your billing information with a PCI-compliant payment gateway, but this gateway does not have access to your ParkSpacely password or profile information. Similarly, if we use a maps API (such as Google Maps) to display parking locations, this service may receive location requests (but not your personal data from our database).
- Service Providers. We use trusted third-party companies to help operate our service. For example, payment processors (for transactions), cloud hosting providers, email service providers (for sending emails), customer support platforms and map/navigation services. These providers only get access to the data they need to perform their function, and they must treat your data confidentially.
- Business Transfers. If ParkSpacely is ever merged, acquired or sold, your data may be transferred to the new owner (subject to this Privacy Policy).
- Legal requirements. We share information with government or regulatory authorities if required by law (for example, if the police have a valid warrant, or to comply with tax authorities). We may also share data to protect our rights (for example, to investigate fraud).
Data security
We implement appropriate technical and organizational security measures to protect your data. This includes using encryption (HTTPS/TLS) for data in transit, secure servers for data at rest, and strict access control. Only authorized ParkSpacely personnel and our service providers who need your data to perform their jobs have access to it.
However, no system can be 100% secure. Although we strive to protect your data, we cannot guarantee absolute security. If a breach occurs, we will notify you and the Danish Data Protection Authority in accordance with the legislation.
Data storage
We retain your personal data for as long as necessary to fulfill the purposes described above, unless a longer retention period is required or permitted by law. General:
When data is no longer needed, we securely delete or anonymize it. For example, old parking records are removed if there is no ongoing dispute; automatically read license plate images can only be stored for 3-30 days as required for enforcement (some parking operators store them for up to 92 days in special cases, although ParkSpacely itself only logs your license plate number for the booking session).
- Booking and account data. We store your account information (name, email, phone, license plate, etc.) as long as your account is active. If you delete your account, we will delete your personal information, unless we need to retain some data for legitimate business or legal reasons.
- Payment and billing records. We store transaction journals and invoices for at least 5 years, as required by Danish accounting law.
- Support and communication. Records of your communications (such as support emails) are kept for a limited period of time to resolve any issues.
- Analysis/log files. Usage logs and analysis data are stored in anonymized or aggregated form and are cleaned at regular intervals.
Your privacy rights
According to the GDPR, you have the following rights regarding your personal data:
To exercise any of these rights, please contact us by email (see below). We will respond within the timeframes set by the GDPR. If you feel that we have not processed your request correctly, you can also lodge a complaint with the Danish Data Protection Authority.
- Access. You can ask us for a copy of the personal data we hold about you.
- Correction. You can request that we correct any inaccuracies in your data.
- Deletion. You can ask us to delete your data (for example, if you withdraw consent or close your account), unless we have a legal obligation to keep it.
- Restriction. You can ask us to restrict the processing of your data in certain situations (e.g. while a dispute is being resolved).
- Data portability. You can request that we provide your data in a machine-readable format or transfer it to another service (where possible).
- Object. You can object to our use of your data for direct marketing. You can also object if we rely on legitimate interests (you believe that your fundamental rights override those interests).
- Withdraw consent. Where we process based on consent (eg opt-in marketing emails or cookies), you can withdraw your consent for future processing at any time.
